Is Web Based CRM More or Less Expensive Than Premise Based CRM?

Some people feel that web based CRM is priced like a utility – you pay for what you use. However, that is a myth.

Most companies must commit to a pre-determined contract that is independent of their actual use. Web based CRM does not have the hefty upfront costs of hardware meanienance, upgrades and support as well as license fees that on-premise CRM applications have. But web based CRM may include fees for extra features such as mobile or offline access, various types of industry-specific functionality, extra storage, or premium support.

Both types can offer a great array of customization. Both types offer flexibility.

Web based CRM may be less expensive than on-premise software over a two year period, but that may not hold up over five years since on-premise deployments can become less expensive as the capital assets depreciate. For companies with less than 500 employees, the real advantage of web based CRM kicks in about year 7 of the deployment. These organizations are able to delay upgrade cycles due to integration and customization.

There may be issues that affect the cost that are not usually considered. Downtime, data loss, and time to restore a backup in case of catastrophe are items to be asked and understood.

Web based CRM brings together all the information about a customer in one location or database. This is a great advantage when dealing with multinational customers whose information would be stored in databases in various countries using an on-premise CRM. The information sharing that can take place impacts the bottom line. This can even happen with national accounts that are serviced by regional offices.

Web based CRM may never fully replace on-premise CRM because different companies have different needs. Costs, complexity and control will keep two different models alive for the foreseeable future.

No Backup Needed: Web Based CRM Software

Well,
Last night the inevitable happened…..hard drive crash. I have been using this laptop for about 3 months, and wa’ la’! Hard Drive decided to take a dive…. (Hitachi, on Lenovo T series) I have been using IBM notebooks for over 10 years, and I would have to admit, this is first time I have ever had an issue. The good news….All of our mission critical data was stored in Cynergy Web Based CRM Software. The bad news: All of my email is gone, favorites gone, files gone. However, only lost 3 months of data. And yeah I kept meaning to do the backup, (we have the software) (but who has the time?) Now, I have plenty, waiting on the new drive, and using a temporary big box while waiting. (Yesterday I downloaded 43,000 emails from the server, twice) I only share all of this with you because it’s good therapy, and most of us have experienced it, thus have something in common right off! (plus, the wife (who is not computer savvy) said, “aren’t you supposed to back up your stuff?” (I loved that one!)

With the rapid increase in the “digital lifestyle” we find more and more of our personal possessions on our computers such as Pictures, home movies, music, school work, financial information, and more. With this greater digitization of our life style comes the greater possibility of a catastrophic loss. Sometimes it may be the loss of just a few documents from school or work. But in the worst case it could be an entire hard drive containing gigabytes worth of pictures, movies, school work, and important financial information. We are all only one computer virus, hardware failure, or user error away from losing that important digital information. TA DA!!! Like me!

Using a web based CRM Software can certainly alleviate a lot of these headaches, but you still need to back up the content that is also important to you.

Although this may seem rather bleak, there is no reason to go back to keeping hard copies of all of our information. There are a multitude of tools available today to help you keep your data from being lost. The ITS Help Desk highly recommends a proactive approach to computing – scanning for and preventing viruses, spyware, adware, and malware; keeping your system up-to-date with the latest operation system patches; and keeping current backups of your data readily available and easily accessible.

The instructions below are intended to provide various methods available to you for backing up your personal data and other pertinent information.

Data Backup Options
Windows CD Writing Wizard – This option is built in to the Windows operating system. To back up your data using this option, your computer will need to have a CD-RW drive or “CD burner”. You will also need several blank CDs. (like a million)

Backup Utility for Windows – This option also comes built in to the Windows operating system. The utility creates a single backup file of all of your data, which you can store on your hard drive, a USB Key, an external hard drive, or burn to a CD or DVD. You can also use the same utility to restore your data from the backup file, should your data become corrupted or lost.

Knoppix Boot CD – Knoppix is a Linux boot CD created by Klaus Knopper. Don’t let the word “Linux” scare you off, however. Knoppix can be used on most Windows computers and is best suited for instances where your Windows operating system has been corrupted and you are unable to boot into your desktop workspace.

Back up Your iTunes Music Library – If you have a large collection of music that you use with an iPod, then you probably store your music in iTunes. Use these instructions to create a back up of your iTunes music library. After creating an initial backup, Apple also provides instructions for making incremental or periodic backups of your iTunes library.

Third Party Backup Software – There are several third party software programs available that help you back up the data on your computer. Visit PC Magazine’s web site to read reviews of third party backup software. Our favorite is by: logmein and from now on, I may just actually use it!!!

Web Based Software is What You Need at a Cost You Can Afford

Web-based software is one of the greatest ideas ever. It is the best of all worlds. You can have the exact software you need at a cost you can afford. You can even have it configured specifically for your company or your customers.

What are the advantages of web based software for your company?

  • You don’t purchase the software
  • You don’t install the software on your server
  • You don’t maintain the software
  • You don’t update the software

What does that mean to your company financially?

  • Saving a great deal of money in software purchase and implementation.
  • Saving money on maintenance.
  • Saving money on failed deployment risks and downtime.
  • Saving money on testing and upgrading.
  • Saving money on IT support people.

What much control do you have over the software application?

  • You provide the details of your needs and the company supplies the exact fit.
  • You maintain control over management, layout, and designs.
  • You have full access from any computer with a browser and an internet connection.
  • You have the time to focus on your customers.
  • You have full technical support via telephone and e-mail.

The Trinity and Web Based CRM Software

I was reading a great book the other day by Avinash Kaushik on Web Analytics. Avinash is one of the foremost experts today about SEO and Content Intelligence. I was so intrigued by his section of the book about what he calls “an integrated Trinity Platform” and how it relates to Web traffic that I decided was also a great model for Web Based CRM Software. At the top of the triangle is Key Metrics and Search Intent Inferences (asking effective questions of your clients) In the SW corner are outcomes of the buyer’s behavior and tracking that (decision making process) and in the South East corner of the trinity triangle is the Customer Experience (customer satisfaction, voice of the customer).

Thus this framework can be applied to virtually any kind of business you are in, whether it is the Web Based CRM Software industry, web based customer support, lawn care, law practice, “help desk” software, medical, or printing business. Apply these to your business, and then evaluate…..hopefully you’ll like what you see. If not, fix it!

Who Needs Web Based CRM Software?

As a corporate leader of a customer service area you should have two goals: (1) Deliver an exceptional customer experience and (2) Build strong customer relationships. CRM software is central to any company’s efforts to deliver exceptional customer experiences and build strong customer relationships.

Current questions about your CRM software may have caused management to think about upgrading to a more current, flexible or powerful system. Just because a system is more expensive or more powerful does not necessarily mean it is better or will meet your needs better.

Each person and department that interfaces with the CRM software must understand what they need it to do for them and feel that their software answers their needs.

  • Customer Service Department members want a system that helps them provide faster and better support to customers. They want tools and information that they need to answer questions and resolve problems at the moment the customer calls. They want to be enabled to keep customers satisfied and loyal.
  • Customer Service supervisors and managers want tools to measure and manage performance, costs, and resource utilization. They want to keep their department efficient and effective. And they need tools that keep the learning curve low for newly hired agents so they can keep quality and consistency high.
  • Customers want to track their trouble ticket online and see who is supposed to be helping them. They want to be able to look for answers and resolutions themselves to solve their own problems. And they may want to cancel that trouble ticket if they successfully find a resolution.

Web based CRM software gives customer service department reps a user interface that is easy to use and comfortable to navigate. Web based CRM is automatically interfaced and integrated with other systems such as Microsoft Outlook, Excel, and SharePoint. This enables the reps to quickly follow the trail of e-mails with the customer or access information housed in a SharePoint library. Web based CRM software houses all the information about a particular customer. Web based CRM software builds, adds to, and searched a service-oriented knowledge base. In that way, today’s issue and solution is “banked” to help tomorrow’s customer as well.

Web based CRM software gives information and tools to the right people with the least number of mouse clicks. Web based CRM software is the easiest way to help customer service managers ensure delivery of exceptional customer service. It gives them the information and tools they want without the clitter of irrelevant features. It enables them to create a user dashboard with hand-picked, user-specific content. And it provides customer service managers with simple monitoring of their department while gaining instant insight into problem areas.

Web based CRM software empowers the customer to create, track and cancel his trouble ticket as needed. Web based CRM houses the knowledge base that the customer and the agent will need to access to answer the question or problem. And web based CRM software is available to the customer 24/7 from any place he has internet access.

The Pain of Web Based CRM Software

Obtaining a list of issues that a client has will require you to listen carefully to what the client is telling you, and enable you to capture the issue in a key word or phrase that best describes the issue (which is usually pain) or the result (which is the gain) that you are after. Thus the pain, is generally described to you in the client’s words….not your own. And when you outline this in their Scope of Work, it will have much more meaning than if it were your words. And when the client is reviewing competitive scopes of work or quotes, they will be able to relate to your proposal because it is in their words, not some nebulous quote template that you had designed to look good, but lacked content. Make sure that you include these statements in your Web Based CRM Software notes section, so everyone on your team is aware of the Pain Expression. Often times a client will give you a complete history of the pain over the last 5 years and tell you about the cutbacks they have endured over the years in people or services. And so when they describe the pain they went through, we should ask more questions that gives us the real source of the pain. Then listen closely, and try to help the client solve the source. I had a client one time that was using our help desk software and recording over 500 trouble tickets a week. And they were in pain, but could not describe it. After a short session of Q & A, we were able to get to the source of the pain. Their help desk software agents were having to stay late each night to finish filling out tickets that they were not able to do earlier in the day. After they told us of the problem, we helped them develop some “quick ticket” templates that would shorten the length of time that they were entering each trouble ticket into Cynergy Help Desk Software, thus cutting their entry time by 20%. Problem solved, client happy, and Web Based CRM Software came to the rescue, by asking a few pertinent questions….

Focus and Web Based CRM Software

Recently I pulled an oldie but goodie business book from my library by Al Ries. He was always one of my favorite authors. Especially when it comes to narrowing your scope. And let’s face it, that is what Web Based CRM Software is all about. I am always challenged by CEO’s that have the “Beam Me Up Scotty” mentality, and think that all they should have to do is touch their transponder, and click their heals and have software solve all of their problems. Of course, that is why they are usually great CEO’s, because they have great vision and can see things in a broader prospective that most of us cannot. As Ries says, “How can we grow if we do not appeal to our noncustomers?” Certainly a legitimate question, and it’s really easy to see how broadening your base with increase your business and your profits; it’s much harder to see how narrowing the focus will do so, but it will. A lot of it goes back to the 80/20 rule of business. ie; 80% of our customers make up 20% of our revenue. 20% of our clients generally represent 80% of our revenue. Yet we spend 80% of our time on those 80% that we should not. And I am proposing that we spend 80% of our time, on those 20% of the top clients, and 20% of our time on the other 80. But how do we know? If you don’t know, drill into your Web Based CRM until you do….I think the results may just surprise you…….
